Applying Sidebar Filters

The Tasks app sidebar includes a set of tools that enable you to quickly apply filters. These controls let you limit the number of displayed tasks based on commonly used, non-customizable modifiers.

To apply filters to the Tasks area, you need to show the sidebar. However if you do not need to access the features in the sidebar, you can collapse it to increase the screen space for the Tasks area. When you dock the Tasks app while the sidebar is shown, the sidebar is automatically collapsed. Undocking the Tasks app also restores the sidebar. When you dock the Tasks app while the sidebar is collapsed, undocking does not restore the sidebar. For more information, see Docking Apps.

The sidebar filters are arranged in the following categories.

Category

Description

Due Date

Lets you filter tasks by using Due Date ranges. Only one date can be selected at a time.

  • Late (tasks with a due date up to the current time; means: filters for over-due tasks)

  • Today

  • Tomorrow

  • This week (current calendar week, Monday - Sunday)

  • Next week (next calendar week, Monday - Sunday)

  • Future (later than next week)

  • No date

Note that a Due Date filter is automatically removed when you apply the My Day or Recent filter from the Tasks list toolbar.

State

Lets you apply a status-based filter. Multi-selection is supported. The following filters are available:

  • Not started

  • In progress

  • Completed

Note that the filters Not started and In progress are automatically set when you apply the My Day filter from the Tasks list toolbar. If you disable one of the filters or additionally enable the Completed filter, the My Day filter is automatically disabled.

Priority

Lets you filter tasks by their priority. The following filters are available:

  • Urgent

  • Important

  • Medium

  • Low

Multi-selection is supported.

Access

Lets you apply an accessibility-related filter. The following filters are available:

  • Private

  • Team

Multi-selection is supported.

Type

Lets you apply a type-based filter. The following filters are available:

  • Regular

  • Review and Approval

Multi-selection is supported.

Tags

Lets you filter by tags that have been added to tasks. Multi-selection is supported.

Unlike the other filters, which cannot be customized, tags might change since they can be added, renamed or removed in the details of a task. See Using Tags.

Tags are sorted by usage numbers, highest numbers on top. If more than five tags are available, you can click the "show all" link to open a break-out window that displays all possible filters for the Tags filter category.

Across categories, the filters are cumulative. For example, if you apply a Due Date filter and then a status-based filter, the status-based filter is applied to the already filtered Tasks list. Within a group, the filters are "OR" connected.

When you apply a filter, the Filter button in the sidebar header and the Applied Filters button are both updated to reflect the number of categories with applied filters. Within each category (except Due Date), a counter appears to the right of the name of each filter to identify the number of related tasks. The task numbers are refreshed every 30 seconds (independently from the Auto-Refresh setting of the Tasks list).

The sidebar can display up to eight entries for each filter category by default. In some cases, the app might display a “show all” button that allows you to select from additional filter options:

  • Tags: Click the "show all" button to open a break-out window that displays all possible filters for the category.

To apply a filter:

  1. Click the Expand / Collapse toggle button of any collapsed filter group.

    A set of predefined, non-modifiable filters is shown. No filter is selected by default.

  2. Select the filters you want to apply.

    • Within the Due Date group, you can only select one filter (option button), within any other group you can select more than one filter (check boxes).

    • For Tags, you can also click the "show all" button, and in the break-out window that opens select the filters and click the Apply button.

    The Tasks area is updated according to the applied filters.

To remove filters, do one of the following:

  • To remove all applied filters at the same time, click the X on the right of the Applied Filters button.

    The Filter list is reset and all filters are cleared from the Tasks area.

  • To remove an individual filter, do one of the following:

    • Click on the Applied Filters button, and in the fly-out window that provides more detail on the selected filters click the X to the right of any filter you want to remove.

    • Deselect the check box of the applied filter you want to remove.

    The filter is cleared from the Tasks area.
